Position Purpose:
To further the mission of CYJ-Texas through building our client base and hosting rental groups at our camp facility and to ensure the success of the retreats held at CYJ. The Sales/Marketing Manager will be responsible for booking camp with new groups seeking a place to host their event and connecting with existing clients to evaluate their weekend and rebook them for the following year. In addition to the sales and marketing responsibilities, this position will also be responsible for supervising the Event Coordinator and, as needed, will spend time at camp, staying overnight, to assist in hosting various groups throughout the year.

Essential Job Functions:

  • Service existing accounts obtain and establish new accounts

    • Initiate Marketing Campaigns to target new organizations.

    • Follow up with existing groups to get them booked for their next event

    • Work with and create systems and procedures to automate the sales and planning processes

  • Increase retreat center social media exposure by finding relevant articles, taking photos of our facility, etc.

  • Manage a booking calendar for new and returning groups

  • Manage accounts payable and receivable for each retreat account

    • Manage and send invoices to groups

    • Collect payment from groups

    • Request payments for facilitators or staff that worked a group

  • Coordinate with camp employees to create a successful experience for rental groups

    • Report to the Operations Director on a regular basis to understand rental group needs

    • Coordinate with the Maintenance Director and camp-based staff to resolve issues at the facility

    • Coordinate with the Chef and kitchen staff to ensure meals, menus and special requests are all handled in an appropriate and timely manner

    • Coordinate with the Housekeeping staff to ensure all facilities are properly cleaned and prepared for the groups

  • Regular communication with rental group leaders prior to the event and after the event.

    • Accommodate the specific needs of various rental groups

    • Provide great customer service. Maintain an approachable and friendly demeanor and ensure all members of the group are enjoying their stay and that the group leader is satisfied will all aspects of their experience.

    • Coordinate accommodations, programming and meeting spaces as needed

    • Enforce the rules and policies of the camp to ensure the group’s safety

    • Evaluate each event following their stay and take notes to improve for future events

  • Prepare the camp facility for rental group usage

    • Check that all facilities are in good working condition and/or work with appropriate camp employees to ensure the facility is in working condition

    • Set up the facility for the specific needs of the group

  • Supervise the Facility Host and ensure they are well-prepared and informed about all groups

    • Help with Groups when needed along with facility host

    • Develop an internship program for students seeking experience in the camping/hotel and/or restaurant management industries

      • Schedule the interns to assist the Facility Host as needed

    • During the summer camp season (mid-May through mid-August)

      • Required to live near or on site at the camp in Wimberley, TX

      • Fill a major role in the camp’s operations department


  • College graduate

  • Non smoker

  • Lives near or is willing to relocate to a location near Camp (Austin/San Marcos/Wimberley included)

  • Highly motivated and excellent, ongoing communication (and quick response time) when coordinating with both superiors and clients.

  • Background in Camping, hotel/restaurant management and customer service

  • Ability to lift at least 50lbs. and move equipment around camp.

Knowledge Skills and Abilities:

  • Knowledge and experience in CRM, website design, and social media campaigns

  • Strong verbal and writing communication skills

  • Knowledge and experience in the areas of administration, supervision, public relations, marketing, customer service, sales and recruitment.

Working Conditions

  • Salary: $30,000-$35,000 plus full benefits package

  • If needed, will perform the duties of the Event Coordinator and/or will assist with events

  • Year-round lives near camp (Austin/San Marcos/Wimberley area)

  • Required to live near or on site at the camp in Wimberley, TX. During the summer camp season (mid-May through mid-August)
